Connect Zoom to AcademyLauncher

AcademyLauncher Meetings lets an instructor connect their own Zoom account and create Zoom meetings while scheduling live classes. The meeting host, participant capacity, duration, recording availability, and other Zoom features are governed by the connected instructor’s Zoom plan.

Before you begin

• Sign in to AcademyLauncher as an account owner, administrator, or instructor who can create workshops.
• Make sure Zoom is enabled as a meeting provider for the AcademyLauncher account.
• Use AcademyLauncher managed unless your account administrator has intentionally enabled Tenant OAuth (BYOC) and supplied separate Zoom credentials.

Add and authorize the Zoom app

1. In AcademyLauncher, open Dashboard → Workshops → Add New.

2. Enter the workshop title and select Zoom as the workshop provider.

3. Under Provider connection, select AcademyLauncher managed.

4. Select Connect provider account.

5. Zoom opens its authorization page. Sign in to the Zoom account that should host the class, review the requested permission, and select Allow.

6. Zoom redirects you to AcademyLauncher. The workshop form will show that the provider is connected.

The AcademyLauncher Meetings app requests the Zoom permission needed to create meetings for the authorized user. OAuth tokens are stored server-side and refreshed when necessary.

Create and use a Zoom workshop

1. Open Dashboard → Workshops → Add New.

2. Add the class title, date and time, duration, description, and audience.

3. Select Zoom and AcademyLauncher managed.

4. If the provider is not connected, select Connect provider account and complete Zoom authorization.

5. Save or publish the workshop. AcademyLauncher creates the Zoom meeting on behalf of the connected instructor and stores the join link with the workshop.

6. Learners open the workshop in AcademyLauncher and select the Zoom join link at the scheduled time.

Zoom determines the maximum number of participants, meeting duration, host controls, and recording features according to the connected host account and its Zoom plan. AcademyLauncher does not impose a separate participant or duration cap.

Disconnect and remove the Zoom app

To disconnect from AcademyLauncher:

1. Open Dashboard → Workshops → Add New or edit a Zoom workshop.

2. Select Zoom and AcademyLauncher managed.

3. Select Disconnect provider.

4. AcademyLauncher revokes the available OAuth token and deletes the stored provider connection for that instructor and AcademyLauncher account.

To remove the app from Zoom:

1. Sign in to the Zoom App Marketplace.

2. Open Manage → Added Apps.

3. Find AcademyLauncher Meetings and select Remove.

4. Confirm removal.

Disconnecting or removing the app prevents AcademyLauncher from creating new Zoom meetings for that connection. Existing Zoom meetings are not automatically deleted; manage or delete them from the Zoom web portal when needed.

Troubleshooting

• If Zoom displays an authorization error, confirm that the app is available to your Zoom account and try connecting again.
• If the workshop says the provider is not configured, ask your AcademyLauncher account administrator to enable Zoom.
• If your account uses Tenant OAuth (BYOC), choose Tenant OAuth (BYOC) instead of AcademyLauncher managed and use the credentials configured by your account administrator.
